AI Use Disclosure

Vaultline runs on a lot of AI. This page lists exactly where, what it sees, and what happens when it gets things wrong.

Last updated: August 28, 2026

1. Where AI runs

  • Receipt & order scanning — reads merchant, date, totals, tax, and line items from photos you upload.
  • Find & Scan and Scan & Earn — vision checks that the photographed item matches the hunt or qualifies as a scannable item.
  • Offer matching — compares your purchase to active offers, merchants, brands, products and categories.
  • Fraud and anti-abuse checks — duplicate detection, image reuse, location plausibility, and unusual earning patterns.
  • Categorization and insights — suggests categories and summarizes your spending trends.
  • Admin AI studios — used by the owner to draft offers and item hunts.

2. What gets sent to AI models

When an AI feature runs, the relevant input — a photo, a barcode, a merchant name, an amount, or a short text field — is sent to a third-party model provider for processing and a result is returned. We send only what the feature needs. We do not send your account balances, passwords, or unrelated records.

Model providers process this on our behalf. We do not permit your records to be used to train third-party models.

3. AI gets things wrong

  • Extracted totals, dates and merchants can be misread — always review a scan before saving it.
  • An offer may fail to match even when you believe you qualified, or match when you did not.
  • Item verification can reject a genuine photo (bad lighting, glare, cropping) or flag it for manual review.
  • Insights and suggestions are pattern guesses, not advice.

4. Human review and appeals

No AI decision permanently removes points without a path to review. High-value or unusual claims are held for manual review by the Vaultline owner, and any denied claim can be appealed through the reward appeal form. A human makes the final call.

5. Document Vault AI

  • AI reads a Document Vault file only when its owner taps "Read with AI" and has agreed to these rules.
  • Only that single photo or PDF is sent, with no other records. The provider doesn't store it or train on it.
  • The file is fetched with the owner's own sign-in, so AI can never read another member's documents.
  • ID, card and account numbers are masked to the last 4 digits in any reading.
  • Readings (summary, store, amount, tags) are saved only on the owner's document and are deleted with it.
  • Readings can be wrong and are not proof, evidence certification, or legal advice.

6. AI Use & Responsible Use Agreement

AI features stay locked until you actively accept this agreement — opening or using Vaultline does not count as acceptance. Your acceptance is recorded with the agreement version and the date and time; if the agreement changes substantially, you'll be asked to accept the updated version before AI unlocks again. Until you accept, AI chat, AI tools and AI generation are disabled, and AI requests are also rejected on the server.

  • AI-generated information may contain mistakes, inaccuracies, or incomplete information — review it before relying on it.
  • Do not use AI to create, submit, or complete work in violation of your school, workplace, or other applicable rules.
  • Do not use AI to impersonate another person, deceive others, commit fraud, or perform illegal activities.
  • Do not enter passwords, financial account credentials, government identification numbers, or other highly sensitive personal information into AI prompts.
  • Do not attempt to bypass, disable, manipulate, or exploit Vaultline AI safety restrictions.
  • AI responses do not automatically represent the views of Vaultline.
  • Vaultline may restrict or disable AI access if these rules are violated.

6a. The 8-step acceptance process (version 2)

Because AI reads and analyzes your personal information, acceptance takes eight separate screens. Each step has its own confirmation box, there is no skip or close, and the final step requires typing "I AGREE".

  1. What the AI will read. When you turn on an AI tool, Vaultline AI reads your own records to answer you. Vault Copilot reads your accounts, transactions, bills, budgets, goals, debts and CayPoints. Smart Scan reads the receipt photos you take. Online Order reads the order text or screenshots you paste. Document Vault AI reads every page of the document you choose to read. Location Coach reads your saved check-in visits. Item scans and hunts read the product photo you submit.
  2. How the AI analyzes it. The AI looks for patterns and turns your numbers into plain-language answers. It totals spending, finds your biggest categories, spots repeat charges and upcoming bills. It pulls store names, dates, amounts and items out of receipts and documents. It suggests next steps (cancel, save, pay off first) — suggestions, never orders. It only runs when you tap an AI button or open an AI page. Nothing runs in the background.
  3. Mistakes can happen. AI is helpful, but it is not perfect. Answers can be wrong, out of date, or missing something. Scanned amounts and dates must be checked before you save them. Vaultline AI is general guidance only — not licensed financial, tax, legal or medical advice. AI responses do not automatically represent the views of Vaultline.
  4. Your privacy. Here is exactly what happens with your data. Only your own records are sent — never another member's. Your information is not used to train AI models and is not sold or shared for ads. Card, ID and account numbers are hidden except the last 4 digits in readings. Saved AI readings stay on your record and are deleted when you delete that item.
  5. What not to enter. Protect yourself — some things should never go into an AI box. No passwords, PINs, security codes or one-time codes. No full bank, card or government ID numbers typed into prompts. No other people's private information without their permission.
  6. Rules of use. Breaking these rules can get AI access turned off. Do not use AI to cheat on school or work, impersonate anyone, deceive, commit fraud, or do anything illegal. Do not fake receipts, proofs, scans or check-ins to earn CayPoints. Do not try to bypass, trick or exploit Vaultline AI safety limits. Vaultline may restrict or disable AI access if these rules are broken.
  7. Your control. You stay in charge of AI in your vault. Every AI tool is optional — the rest of Vaultline works without it. Your acceptance is saved with the agreement version and date. If the agreement changes, you will go through these steps again. Questions or a problem? Use Contact or Report from the menu.
  8. AI does not see everything. Vaultline never gives AI unrestricted access to your whole account. Each AI tool only gets the information needed for that one request. Explore sends your search words and any product photo you add — not your accounts. Some AI features use third-party AI providers to process the request.
  9. Prices & shopping. Explore and Price Watch show product prices that can change at any time. Prices, stock, shipping and promotions can change or expire. Results can be out of date. When live prices aren't available, prices are AI estimates and are marked as estimates. The retailer's final price controls the purchase. Vaultline does not sell the products shown. Price last checked times are shown — verify at the store before you buy.
  10. External websites. Store links take you outside Vaultline. Purchases made on another website follow that retailer's terms, privacy policy and return rules. Vaultline isn't responsible for orders, payments or delivery on other websites.
  11. Automated checks & decisions. AI may help with receipt checks, reward eligibility and fraud protection. An AI flag means a review, not an automatic final decision or ban. Automated systems can make mistakes — you can appeal eligible decisions. Vaultline AI is not a financial adviser, investment adviser, lawyer or accountant.
  12. Data retention & your controls. How long AI-related information is kept. AI providers don't store your requests after answering (no training, no storage). Saved AI readings on documents, receipts and scans stay until you delete that item. Explore searches aren't saved. Price Watch items stay until you delete them. Copilot chats stay on your device until you clear them. Security and enforcement logs are kept for account safety.
  13. Signature. Review all confirmations and type "I AGREE" to unlock AI.

6b. Every Vaultline feature that uses AI

One acceptance covers all of these. Each one is locked on screen and on the server until you sign.

  • Vault Copilot — reads your accounts, transactions, bills, budgets, goals, debts and CayPoints to answer questions and write your daily briefing.
  • Smart Scan — reads receipt photos to pull out store, date, items, discounts and totals.
  • Online Order reader — reads pasted order text or screenshots (including on holiday-closed screens).
  • Document Vault — Read with AI — reads every page of the document you choose.
  • Item scans & Item Hunts — read the product photo you submit to check it matches.
  • Location Coach — reads your saved check-in visits to give tips.
  • Admin Offer & Hunt studios — staff-only tools that draft offers and hunts.

7. Not advice

Nothing generated by AI in Vaultline is financial, investment, tax, legal or medical advice. Treat every output as a draft you are responsible for checking.
